How to follow up after a trade show without sending generic email.

The fastest message is not always the best one. The goal is timely follow-up that proves your team remembers what mattered.

1. Consolidate the event evidence

Start with every contact source: badge exports, business cards, lead-capture apps, photos and rep notes. Then gather the approved conversation context and written summaries available from the event.

Do not treat these as interchangeable. The contact record answers “who.” The conversation explains “why now.”

2. Triage by conversation signal

Prioritize evidence of intent: a requested demo, an introduction offered, a stated integration need, a commercial constraint or a specific decision process. A scan without conversation context belongs in nurture—not automatically at the top of the queue.

A simple priority test

  • Is there a defined need connected to what you offer?
  • Was a next step discussed or offered?
  • Can you identify the people and company involved?
  • Is there urgency, scope or strategic reach?
  • Can the follow-up reference something only participants would know?

3. Write from the next step backward

Open with the relevant point from the conversation, confirm the need or commitment and make the next action easy. Avoid a long company recap. The prospect already knows who you are; they need evidence you understood them.

Weak: “Great meeting you at the show. Here is more information.”

Stronger: “You mentioned bringing your product lead into a gateway walkthrough. I can hold Tuesday or Thursday for the technical review.”

4. Create the CRM handoff

Store more than the contact. Include the event, conversation evidence, priority, opportunity rationale, next step, owner and the reviewed follow-up. That record gives managers visibility and keeps the rep from reconstructing the event later.

What to measure

Scan volume is an activity measure. Better outcome measures include substantive conversations, confirmed opportunities, committed next steps, follow-up completion and opportunity progression after the show.
