Privacy at ExpoAmp

Your event data should not become permanent storage.

This policy explains what ExpoAmp collects, why we use it and how we handle the recordings, transcripts and prospect information customers approve for processing.

Who we are

ExpoAmp provides a done-for-you post-event follow-up service. Questions or privacy requests can be sent to shane@expoamp.com.

Information we collect

Website inquiries

When you contact ExpoAmp or request a readiness checklist, we may collect your name, work email, company, event details, readiness answers and campaign or referral information associated with the visit.

Customer-provided event information

To provide the service, a customer may approve and provide badge or contact exports, business-card information, notes, photos, CRM exports or transcript files. ExpoAmp uses transcript-first processing by default. Customers should not submit raw audio unless ExpoAmp specifically requests it because a usable transcript is unavailable or insufficient.

Customers may submit smaller source files through the ExpoAmp website form or provide a private link to files stored with a cloud-storage provider they choose. Website form submissions are handled by ExpoAmp's hosting provider and are restricted to the ExpoAmp project team.

Website analytics

If you accept optional analytics or advertising cookies, ExpoAmp and its analytics providers may collect device, browser, page-view and campaign information. Form answers, names, email addresses, transcript content and prospect records are not intentionally sent to analytics platforms.

How we use information

We use information to respond to inquiries, evaluate event fit, provide requested readiness results, deliver the ExpoAmp service, reconcile event contacts and conversations, create prioritized opportunities and follow-up drafts, improve the website, protect the service and meet legal obligations.

ExpoAmp does not sell customer event data or use a customer's recordings, transcripts or prospect records to advertise to those prospects.

Source-file retention

Customer-provided source audio and transcript files are deleted promptly after processing and no later than seven days after the related Action Plan is delivered or the engagement ends. A customer may request earlier deletion. If a source file is needed again after deletion, the customer can provide it again.

ExpoAmp may retain the structured summary, Action Plan and other approved deliverables created from those source files as described below; the raw transcript or audio is not retained merely because the structured output is kept.

The finished Action Plan, approved deliverables, contact information and ordinary business records may be retained only as reasonably necessary to provide the service, support the customer relationship, document transactions, resolve disputes or comply with law. Customers may request deletion of these records, subject to legitimate business and legal requirements.

Recording responsibility

Customers decide what information to capture and share with ExpoAmp. Customers are responsible for providing any required notice, obtaining required consent and following applicable recording laws, employer policies and event rules. ExpoAmp processes only the event information the customer authorizes for the service.

Service providers and disclosures

ExpoAmp may use service providers for website hosting and forms, email delivery, scheduling, analytics and secure business operations. They receive information only as needed to perform their services. Information may also be disclosed when required by law, to protect rights or safety, or as part of a business transaction with appropriate protections.

Security

ExpoAmp uses reasonable administrative and technical safeguards and limits access to information to people and providers who need it for the service. No method of storage or transmission is completely secure, so absolute security cannot be guaranteed.

Your choices

You may use transcript-only files instead of raw audio, decline optional analytics through Analytics settings, and ask to access, correct or delete information associated with you by emailing shane@expoamp.com.

Children

ExpoAmp is a business service and is not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

We may update this policy as the service and its providers change. The effective date above will show the latest revision.
